Terms & Conditions

These Terms and Conditions apply to all Ruby & Blu sessions, including Holiday Workshops (parent/carer stays), Tutoring Sessions (parent/carer not present) and After School Clubs. By booking a place, you agree to these terms.

1. Bookings & Payment

  • All sessions must be booked in advance via our website or by arrangement with Ruby & Blu.
  • Places are not secured until full payment has been received.
  • Places are limited and offered on a first-come, first-served basis.
  • Ruby & Blu reserves the right to refuse or cancel bookings at its discretion.

2. Cancellations, Refunds & Transfers

Holiday Workshops

  • Cancellations more than 7 days before the session will receive a full refund minus any booking fees.
  • Cancellations within 7 days are non-refundable.
  • If Ruby & Blu needs to cancel a session, a full refund or alternative date will be offered.

Tutoring Sessions (including Group Tutoring)

  • Block bookings are non-refundable but may be transferable at Ruby & Blu’s discretion.
  • For group tutoring, an alternative session may be offered if space is available. This cannot be guaranteed.

3. Illness & Absence

  • Please do not bring your child if they are unwell (including fever, vomiting, diarrhoea, or contagious illnesses).
  • No refunds are given for absence due to illness, but where possible and at Ruby & Blu’s discretion, sessions may be rearranged.

4. Holiday Workshops (Parent/Carer Stay Sessions)

  • A responsible parent or carer must stay on site with their child at all times.
  • Parents/carers are responsible for their child’s behaviour, safety, and supervision throughout the session.
  • Ruby & Blu staff lead activities but are not able to provide one-to-one supervision in stay-and-play sessions.
  • Please help us by encouraging children to be kind, respectful, and careful with equipment.

5. Tutoring Sessions (Parent/Carer Not Present)

  • Ruby & Blu is responsible for your child only for the duration of the booked session.
  • Please ensure children are dropped off and collected promptly at the agreed times.
  • We cannot take responsibility for children before the session start time or after collection.
  • Emergency contact details must be provided and kept up to date.

6. After School Clubs

  • Children attending after school clubs are expected to follow instructions and behave in a safe and respectful way.
  • We aim to create a positive, calm, and supportive environment for all children.
  • Ruby & Blu reserves the right to remove a child from the club if their behaviour is unsafe, aggressive, or significantly disruptive. In these cases, no refund will be given.
  • Ongoing behaviour concerns will be discussed with parents/carers.

7. Safeguarding

  • Ruby & Blu is committed to keeping children safe and promoting their wellbeing.
  • All staff working with children are DBS checked.
  • Any safeguarding concerns will be recorded and shared with the appropriate agencies if needed.

8. Additional Needs, Medical Information & Allergies

  • Please let us know about any additional needs, medical conditions, allergies, or behavioural needs when booking.
  • All personal details, medical information, allergies, and photo permissions are managed via our website. Please ensure these are kept up to date.
  • Ruby & Blu will always try to make reasonable adjustments where possible, but this relies on accurate and up-to-date information.
  • Medication will not be given unless agreed in advance.

9. Photography & Social Media

  • Photos and videos may be taken during sessions for marketing and promotional purposes.
  • Photo permissions are managed through our website – please make sure your preferences are up to date.
  • If you do not give permission, your child will not be included in any photos used publicly.

10. Personal Belongings

  • Please bring minimal personal belongings where possible.
  • Ruby & Blu cannot accept responsibility for lost or damaged items.

11. Health & Safety

  • All activities are risk assessed and planned with safety in mind.
  • Please dress children in suitable clothes for messy, creative, or active play.
  • Any accidents or incidents will be recorded and shared with parents/carers.

12. Data Protection

  • Personal information is stored securely and used only for running sessions and communicating with you.
  • We will never share your data with third parties unless legally required to do so.

13. Changes to Sessions

  • Sometimes changes to sessions, timings, staff, or venues are unavoidable.
  • If this happens, we will let you know as soon as possible.

14. Acceptance of Terms

  • By booking with Ruby & Blu, you confirm that you have read, understood, and agreed to these Terms and Conditions.
